Automation-as-a-Service

Run the floor, not the back office.

Service is at its best when nobody is watching the back office. But the rota changed again, the supplier statement does not match the delivery, and your duty manager is in the office instead of on the floor. We map the process first, then build, run and improve the automation for you, so your teams spend their time on guests.

What changes when the back office runs itself

The problem

A rota that never stays built

Sickness, late cancellations and shifting occupancy mean Monday’s rota is wrong by Wednesday, and someone has to notice, rebuild it and tell everyone affected.

The problem

Bookings scattered across channels

Your website, the third party platforms, the phone and walk ins each hold part of the picture, and somebody reconciles them by hand before the day has even started.

The approach

Map before you automate

We start with how your sites genuinely run, quantify where the hours go, and tell you which parts should stay with a person, because guests can tell the difference.

The approach

One architecture across every site

Bookings, rotas, stock and supplier admin connect through a single operating layer built for your whole estate, rather than another app bolted onto the pile.

Strategy first, automation last

How it works

STRATEGY

Set the direction

We map your processes and admin load, quantify the cost, and agree a sequenced roadmap tied to real outcomes.

CONFIGURE

Build & prototype

A working mockup in week one to confirm your solution.

OPERATE

Run & compound

It lives on our operating layer — monitored, governed and improved by us, so the value grows over time.

In their words

Trusted across complex operations

“bots for that is solving a problem most firms don’t fully realise they have yet — how to manage client obligations, data, and workflows in a post-MTD world without adding layers of complexity.

The platform brings everything together in a really intuitive way, giving a clear view of liabilities, deadlines, and risks across the client base. It feels like the kind of tool that will become essential as compliance demands increase.

Just as importantly, the team behind it understand the needs of the profession and are building with real intent.”

Dean Shepherd · Founder of ESXR

“Bots for That have been brilliant!

They have helped me to understand and use AI better in my business as well as building my an MVP for my pre seed raise and it is amazing!”

Grace Hardy · Founder of Hardy Accounting

“[bots for that] helps us keep on top of the day-to-day mundane bookkeeping, the data entry side of things. It’s allowed us to focus our attention on communicating with clients better.”

Daniel Larcombe · Practice Manager at Future Cloud Accounting

“A team member was off for a week and the bot picked up all their work no problems at all. They pretty much walked straight back into work without a lag in catch up time!”

David Adderson · Founder and Director of Youtopia

“Bots completely transformed the firm. We’re able to rapidly scale and increase our offerings too!”

Chris McKenna · Director at TC Group

“Bots saved 75 FTE over the Cheltenham festival. That’s 600 hours of time the team could use for more valuable work.”

Stephen White · Customer Services Director at Boyle Sports

“The Bot took over the roll of over 100 FTE across Cheltenham. With 54,000 conversations, over 25% were handled by the bot without needing an agent.”

Phil Connolly · Director at William Hill

Common questions

Automation as a Service, answered

What is Automation as a Service for a hospitality business?

Automation as a Service means we map how your operation genuinely runs, build the automation around the PMS, EPOS, accounting and stock systems you already use, then run, monitor and improve it as an ongoing partnership with a single point of accountability. You are not buying software to maintain, you are handing over the admin.

Which hospitality tasks are worth automating first?

Start with the highest volume, lowest judgement work. Booking data pulled across every channel and reconciled automatically, with only genuine exceptions flagged. Supplier statements matched line by line against goods received. Rotas built from forecast occupancy rather than last week’s guess. Compliance logs for food safety, licensing and health and safety completed as part of the workflow your team already follows.

Will automation make the guest experience feel impersonal?

It should do the opposite. The work we automate is back office admin that guests never see, which frees managers and staff to be present on the floor. High stakes guest moments, complaints and anything requiring judgement deliberately stay with a person, and automating everything around them is what protects the time they need.

What makes Automation as a Service different?

It is not another tool added to the stack. It is a single architecture built from the ground up across six layers, the foundational model, the agent harness, data and integrations, context and knowledge, skills, and security and governance. That is what makes it last. Individual tools tend not to connect to one another, and each one is vulnerable the moment a system around it changes or updates. Automation built on one architecture is designed for those changes rather than broken by them. In hospitality that matters because your PMS, EPOS and booking channels each change on their own schedule, and a flow connecting two of them tends to fail on the busiest weekend of the year rather than a quiet Tuesday.

Tell us where the admin piles up. We’ll map it and prototype fast.
